The Grants Coordinator is a three-year, term-limited position that oversees grantmaking operations, works with the Program Team to implement the grantmaking strategies, and supports the organization’s learning and evaluation efforts. The Grants Coordinator reports to and is guided by the Senior Grants Operations Manager and is a member of the Impact & Effectiveness Team. This position will be responsible for stewarding and accompanying applicants and grantees through the Global Fund for Women grantmaking process and maintaining and improving grantmaking systems and processes.
Please note: Candidates who are not fluent in Russian and who do not have knowledge of the ECA region through academic or lived experience will not be considered for this role.
ESSENTIAL JOB FUNCTIONS
Grants Management & Grantmaking Support (35%)
• Support the management of the applicant and grantee information inbox
• Respond to applicant inquiries
• Review profiles and concept notes
• Support applicants to submit proposals when needed
• Develop summary statements for applicants
• Contact global advisors as part of due diligence
• Monitor grantee report submission
• Code and analyze grantee reports
• Send decline and award letters to applicants
Contract & Payment
• Send contracts to grantees via electronic signature
• Verify signer & payment information
• Track payment progress and issues
• Document country-level payment issues in Salesforce
• Translate and/or verify the translation of grant-making materials and other program-related materials
Initiatives & projects (35%)
• Serve as the Grants Operations representative on initiative-based grantmaking, responsible for overseeing all grants operations activities in the assigned initiatives
• Lead and/or participate in cross-team working groups or projects
Grantmaking data, system, and knowledge management (25%)
1. Respond to internal requests for grantmaking data (e.g., Programs Team, Development Team, Executive Office)
2. Respond to external requests for grantmaking data (e.g., IHRFG, Foundation Center, Prospera, HIV/AID Funder’s Group, etc.)
Organization-wide support (5%)
1. Support Development Team in proposal development
2. Support the organization’s Advocacy efforts, including sharing correspondence on breaking news from grantees, sharing social movements or political events for dissemination on social media, collaborating with Programs - Advocacy Team in maintaining regional social media accounts.
3. Represent the organization in conferences and other forums
Internal: This position reports to the Senior Grants Operations Manager and has daily working relationships with the Programs Team, and regular working interactions with Development, Technology, and Finance teams as well as other staff.
External: Contact with outside applicants, grant recipients, advisors, contractors, and the general public.
KNOWLEDGE, SKILLS, AND ABILITIES
• Oral and written fluency in Russian
• Knowledge of the Europe and Central Asia region through academic studies, or working or living experience
• Knowledge of women’s rights
• Knowledge of global economic, political, social and cultural trends
• Good working knowledge of global geography
• Strong attention to detail, organizational skills and ability to multi-task
• Strong English oral and written communication skills
• Sensitivity and appreciation for varying viewpoints and communication styles in a politically and culturally diverse environment.
• Ability to exhibit flexibility in a fast-paced environment
• Strong interpersonal skills with the ability to develop solid working relationships
• Ability to manage both daily tasks and long-term projects
• Strong skills in a PC environment, and in using MS Office and database programs
• Experience working with database systems, particularly Salesforce
• Oral and written fluency in one or more of the following languages: Spanish, French, and/or Arabic
• Familiarity with the international non-profit sector
• A working knowledge of grants administration and an understanding of financial information
EDUCATION AND EXPERIENCE
• Bachelor’s degree in a Social Science field or equivalent
• Minimum one year full-time work experience (Preferred)
• General exposure to the non-profit sector
• Experience in working in a diverse, team-oriented, and fast-paced environment
